Workflow 1: Create a deal thread to centralize deal context

When deal knowledge is siloed in individual reps, handoffs break and context is lost. A dedicated Team AI thread turns every deal into a shared, searchable record — with AI that understands the full history.

Open a new Team AI thread for the deal

In the sidebar, click New Thread and select Team AI. Name the thread after the account — for example, Acme Corp - Enterprise Deal.Invite every rep, AE, or manager involved in the deal by clicking Invite in the thread header.

Add the deal's foundational context

Paste or type the key information the team needs: the company background, the buyer’s pain points, deal size, stage, and any previous conversation notes. The AI will reference this context in every future exchange in this thread.

Save the context to Project Memory

Save to Project Memory to lock the deal context into the thread’s memory layer. Everyone on the thread has instant access to this context without re-pasting it — and the AI uses it when answering questions or drafting responses.

Use the thread throughout the deal cycle

As the deal progresses, add new notes, draft emails in the thread, ask the AI for objection handling suggestions, or request a deal summary before a manager check-in. The thread grows into a complete deal history.

Workflow 2: Set up a meeting prep AI Agent

Every sales call goes better when you walk in knowing the buyer’s recent activity, open opportunities, and last interaction. This AI Agent checks your calendar, pulls the relevant CRM data, and delivers a briefing to your inbox — automatically.

Open the AI Agents builder

Go to AI Agents in the sidebar and click New Agent. Name it Meeting Prep Agent.

Configure the trigger

Under Trigger, select Google Calendar. Set the condition to trigger when a new meeting is added that includes external attendees (or filter by a specific calendar label like Sales Calls).Set the lead time — for example, trigger the agent 60 minutes before the meeting starts.

Connect your CRM

Under Actions, add a HubSpot or Salesforce action. Configure the agent to look up the contact and company associated with the meeting invite, then pull:
  • Company name, size, and industry
  • Open deals and current stage
  • Recent activity and last interaction
  • Any open tasks or notes from the record

Generate the briefing

Add a Generate Content action. Write a prompt that structures the briefing:
Using the CRM data pulled above, write a concise meeting prep briefing for a sales call. Include: company overview, open deal context, recent activity, likely questions from this buyer, and recommended talking points.
Set the output to be sent via Gmail to the rep who owns the meeting or posted to the deal’s Slack channel.

Workflow 3: Automate follow-up emails after meetings

The window for a follow-up closes fast. An AI Agent that triggers immediately after a meeting ends — and drafts a personalized follow-up using the conversation context — means nothing slips.

Create a new AI Agent

Go to AI Agents and click New Agent. Name it Post-Meeting Follow-Up.

Set the trigger

Under Trigger, select Google Calendar and set the condition to fire when a calendar event marked as a sales call ends. You can filter by calendar, event title pattern, or attendee domain.

Pull context from the deal thread

Add an action that reads the most recent notes from the deal’s Team AI thread or CRM record. This gives the agent the conversation context it needs to write a relevant, specific follow-up.
Train reps to post a brief “meeting notes” message in the deal thread immediately after a call. The agent picks this up and uses it to personalize the follow-up.

Draft and send the follow-up

Add a Generate Content action with a prompt like:
Based on these meeting notes, draft a professional follow-up email. Summarize what was discussed, confirm next steps, and include a clear call to action. Tone: professional and direct.
Add a Gmail action to send the draft. You can configure the agent to send immediately or to route to the rep’s drafts for a quick review before sending.

Long RFPs and dense proposal documents take hours to read through manually. Document Chat lets you ask specific questions and get structured answers in minutes — so you can focus on the strategy, not the reading.

Upload the RFP or proposal

Open a new chat and click the Attach icon to upload the PDF. Multi-page documents and large files are supported. WorkLLM processes the document and makes it available for the full conversation.

Ask targeted questions

Start with the questions that matter most for your response strategy:
  • “What are the stated evaluation criteria?”
  • “What are the buyer’s three biggest pain points based on this RFP?”
  • “Are there any compliance or security requirements listed?”
  • “What is the stated timeline and decision process?”
  • “What objections should we anticipate based on this document?”

Generate a response outline

Once you have the full picture, ask the AI to draft a proposal outline:
Based on this RFP, write a structured outline for our response proposal. Include sections that map directly to their stated requirements and evaluation criteria. Flag any gaps we need to fill.
Share the output in the deal’s Team AI thread so the full team can weigh in before writing begins.
Compare multiple RFPs at once by uploading them in separate Document Chat threads, then sharing key findings back into a single deal thread.
